When you host your event at Lawrence Country Club, you and your guests will experience breathtaking views, a historic and romantic atmosphere, and the doting service of a skilled staff to ensure an unforgettable experience! The meticulously landscaped golf course offers a breathtaking backdrop for an alfresco ceremony or cocktail party. The main dining area is an ideal space for larger parties and can accommodate up to 150 for a plated dinner or up to 300 for a cocktail-style reception. The Wheat Room and Heritage Room are a wonderful fit to host a family-style dinner, corporate meeting, or more intimate social celebration; and can seat up to 40 people. You and your guests will enjoy an exquisite meal prepared by our talented culinary staff. The friendly, well-trained staff will meet all your needs and exceed your expectations!

      Terms & Conditions
      Consistent with our prior meetings and discussions, we have prepared this Agreement to outline the terms and conditions of LCC (sometimes referred to herein as “we” or “us”) provision of services to you in connection with the above-referenced event. At your convenience, please review this Agreement and provide us with any questions that you may have. If the terms of the Agreement are acceptable to you, please initial all spaces as appropriate, sign the final page and return the entire original contract to us. If the signed agreement is not received by 14 DAYS FROM THE RECEIPT OF THIS AGREEMENT, LCC may release your reservation.

      DEPOSIT & PAYMENT
      The 50% deposit set forth above will be required to be made to secure our services for your event. The initial deposit will be due with your signed contract. Full payment of your balance is due ten business days prior to your event. Any additional charges will be settled at the conclusion of your event. If final payment is not received in full ten days prior to your event, LCC reserves the right to cancel your event. Applicable charges are subject to Kansas State sales tax (9.3%), Kansas State liquor tax (10%), event fee (20%), and any and all other applicable taxes. You agree to pay any and all such taxes. Tax Exemption documentation must be on file with the Agreement for tax exemption status. A corporate direct bill may be set up. Arrangements for payment will be made according to the previous payment history. All functions requesting this service are required to give a minimum of 90 days notice.

      GUEST COUNT
      Guaranteed Guest Count and full payment Date: 10 days prior to event After this date, your guest count may increase reasonably from the guaranteed number, but it may not be reduced. Final charges will be based on the banquet event order (BEO) menu selection and your confirmed guest count or the actual number count taken at your event, whichever is larger. A required minimum of 72 golfers is required to host a golf tournament.

      GOLF CARTS
      Lawrence Country Club will provide carts for all paid participants. Please note that 56 carts are available and LCC will rent additional carts to cover your tournament guarantee. If your tournament numbers decline after the 10-day notice is given or changes the day of, you will still be responsible for the additional carts rented for your tournament. A reminder to include any carts required for staff and volunteers. Please contact the Head Golf Professional at least 60 days prior to your tournament date if additional carts are needed.

      REGULATIONS
      •Additional labor charges of $250 per hour will be added to the final bill if the function extends over the contracted function timeframe.
      •Pins, tacks, tape or any other item(s) may not be attached to any permanent structure on the property.
      •All signage to be posted must have written approval from club management.
      •Guests are prohibited from throwing rice, birdseed, confetti or any like items.
      •Contained candles may be used inside the property, if previously approved by the club.
      •Outside amplified entertainment must cease by 10:00 pm due to city ordinances. Indoor entertainment may continue until 12:00 am.

      DRESS CODE
      It is the responsibility of all members, patrons, and users of the Club to comply with the Club dress code. The Board of Directors of Lawrence Country Club has instructed the Club Staff to inform all dress code violators that they either need to conform to the dress code or they are prohibited from using the Club. Blue Jeans, denim, T-shirts, halters, cut-offs, baggy clothes, or offensive clothing of any nature are not permitted. Shoes must be worn at all times. Golf shirts must have collars and sleeves. Slacks or “proper” length shorts (one fist above the knee) are acceptable. Lawrence Country Club is a non-metal spike facility; however, tennis shoes are permitted. Players must replace their metal spikes prior to arrival or use our replacement services. It is the Head Golf Professional’s responsibility to inform all participants of our dress code and non-metal spike policy. Exceptions to these policies are not permitted.

      CANCELLATION
      There will be no penalty should this booking be canceled due to acts of God, war, disaster or strike. If CLIENT cancels or moves the event to another city or facility, such a decision would constitute a breach of its obligation to LCC. Should the event not be held at LCC or it is canceled, CLIENT will pay as liquidated damages the following:

      *If an event hosted by a current LCC member is canceled, CLIENT has a 3 month grace period to reschedule an event without a cancellation fee.

      INCLEMENT WEATHER POLICY
      As with any event, there is always a chance that inclement weather will cause the cancellation of your event. Our policy states that you will be responsible for all food and beverage booked on the day of your event in accordance with final number guarantees. Lawrence Country Club’s Head Golf Professional or General Manager will be solely responsible for determining course playability. If the group or individuals of the group decide not to participate in golf or the event while the course and clubhouse remain open, the group will be responsible for 100% of the anticipated golf fees outlined below. There will be no guaranteed rain date, but the club will do its best to reschedule the date in case of a rainout. In the event of dangerous weather after play has begun, the following procedures will be followed – 1-9 holes completed – half the price of the green fees and carts will be charged and payable 10-18 holes completed – full price of the green fees and carts will be charged and payable The number of holes deemed completed is to be determined by the Club’s Golf Professional or GM.

      PROPERTY DAMAGE
      The host of the event agrees to be responsible for the proper conduct of all event patrons and their staff/volunteers. The host of the event is liable for any damages to any person, the facility, golf course, golf carts, or other equipment caused by any patrons, staff/volunteers, and will be billed for damages incurred.

      PRICING
      Due to fluctuating market conditions, prices are subject to change without notice. Firm food and beverage prices are quoted 30 days prior to the function if requested. No later than four weeks prior to your event, please inform our Catering Manager of your choice of entrée, any specifics relating to your function as well as your estimated number of patrons. Due to strict health regulations, any food ordered through the Club cannot be removed from the premises after the event. Prices do not include applicable state and local sales taxes or gratuity.

      ADDITIONAL STAFF
      Functions will be staffed as required to properly service the event. Any additional or specific staffing will be charged at the appropriate rate.

      DIRECT SHIPMENTS OR DELIVERIES
      Direct shipments, special handling, set-up of displays, etc. must be pre-arranged with the Catering Department. Coordination and charges of storage, loading, unloading, and exhibit set-up is the responsibility of the patron. Failure to notify LCC may result in refusal of shipments and/or additional charges to the patron. The delivery of cakes, flowers, etc. must be pre-arranged with the Catering Department three days in advance of the event.

      CARRY-IN FOOD OR BEVERAGE
      Lawrence Country Club prohibits the serving of any outside food or beverage on our premises, without prior written approval. Cakes from licensed bakers are approved. No personal coolers permitted, all coolers will be confiscated if brought onto Lawrence Country Club Property.

      DECORATIONS
      It is specifically understood that decorations, signage, and other such and similar items will not be attached in any manner to the walls, doors, or structures of any part of the building. Decorating with confetti, glitter or similar is prohibited.

      DEPARTURE TIME
      Failure to vacate the premises in a neat and clean condition, requiring only vacuuming, no later than the date and time agreed upon, will authorize Lawrence Country Club to charge the association or the patron labor charges for the removal of decoration, exhibits, or displays. Evening functions will end no later than midnight.

      AUDIO/VISUAL RENTALS
      Any intended use of audio/visual equipment must be arranged with the Catering Department three days prior to your event. The Catering Department must be notified 48 hours in advance for any cancellation of equipment. You will be charged for any lost or stolen equipment rented for your event.

      ALCOHOLIC BEVERAGE POLICY
      In accordance with Kansas State Law, the Club will not allow any persons less than 21 years of age to be served alcoholic beverages. Lawrence Country Club is required to request valid identification (photo ID) of any person of questionable age and refuses alcoholic beverage service if the person is either underage or if valid identification cannot be produced. If minors are caught drinking, both parents/guardians and the minor(s) involved will be asked to leave Lawrence Country Club property. All patrons must have a valid photo ID if they plan to consume or purchase alcoholic beverages. In accordance with Kansas State Law, no liquor will knowingly be sold or consumed on Lawrence Country Club property by any person who, in the opinion of appropriate Staff, is or appears to be possibly impaired. No one will be allowed to bring alcohol on the premises. Doing so will result in the immediate ejection from the property and possible discontinuation of the event as well as a fine up to $1,000. In accordance with state liquor laws, alcohol is not allowed to leave the premises. LCC does have restrictions on the types and amounts of beverages that can be donated by sponsors/vendors. If any alcohol-related problem occurs, the group contact will be notified and expected to correct the situation, to the satisfaction of the Club.

      NO WEAPONS POLICY
      In accordance with the Lawrence Country Club policy, absolutely no concealed or unconcealed weapons, including guns, are allowed on the property at any time. Any event patron or staff/volunteer who violates this policy will be required to immediately vacate the property and the event may be summarily discontinued.

      CLOSING AND MUSIC
      All evening functions will have a last call at 11:30pm, with service ending at midnight. Lawrence Country Club reserves the right to refuse service to anyone attending the event. Lawrence Country Club controls the volume of all music, and music will be stopped at midnight.

      PAYMENTS
      A 3.5% processing fee and $0.20 transaction fee will be added to all credit or debit card payments including deposits. If paying by check, it must arrive at the Club no later than 30 days after the date of the event.

      INDEMNIFY & HOLD HARMLESS CLAUSE
      CLIENT is to be solely responsible for and indemnify, defend and hold harmless LCC, its owners, operators, employees, officers and agents, for all loss or damage originated from or in connection with, all activities of CLIENT guests and attendees and for all claims or demands for damages to property of or injury or for death of persons directly or indirectly resulting from such activities of whatsoever nature (except loss or damage caused by the gross negligence or wrongful act of LCC owners, operators, employees or officers). Should CLIENT not pay their amount due to LCC by the due date, the sponsoring member shall be held responsible for said payment.

      FORCE MAJEURE
      In the event that this Agreement may not be performed by LCC or you due to force majeure, including, but not limited to, acts of God, acts of terror, acts of war or other acts of enemies, government regulations, disasters, strikes, civil disorder, curtailment of transportation facilities or other emergency beyond the control of LCC or you, thus making it inadvisable, unsafe, or impossible to carry out the event which is the subject of this Agreement for catering services, then LCC shall refund 100% of any deposits paid under the terms of this Agreement and LCC shall have no current or future obligation of any kind under this Agreement or otherwise.

      ENTIRE AGREEMENT
      This Agreement will constitute the entire agreement between the parties and any prior understanding regarding the same subject matter will not be binding except to the extent incorporated in this Agreement.

      SEVERABILITY
      If any provision contained in this Agreement is held invalid, illegal or unenforceable, then this Agreement will be construed as if such provision had never been contained herein.

      NO THIRD PARTY BENEFICIARY
      This Agreement is for the sole benefit of the parties hereto and nothing herein, express or implied, shall give or be construed to give any rights hereunder to any other person.
